A simple handoff

From the first proof
to the final answer.

A reply is more useful when everyone knows which files it refers to. Give every proof a place to be reviewed, answered and found again.

01

Send the complete proof.

Open the Shopify order, add your JPG, PNG or PDF files, and send a private review link.

02

Let the customer decide.

They review the files and approve that version or leave a request for changes.

03

Find the answer on the order.

See the current proof, its response and earlier versions together. Your team makes the production call.

Clarity, version by version

A new version
needs its own answer.

Change the files, ask again. The earlier response stays with the earlier version, so an old approval never becomes approval of your new proof.

Keep the current proof and the version history with the order. Open the approved files when it is time to check the next step.

Updates without losing the thread

Proof invitations, optional reminders and response notifications keep the review moving. Delivery has its own visible status.

A status your team can find

Proof status and Shopify order tags help the store follow the work. A delayed tag update does not undo a saved response.

What counts as a proof-order?

An order counts once, when its first proof is published for customer review. Drafts do not count. Later files and versions in the same proof process never count as another proof-order, even in a later billing period.

What happens at the proof-order limit?

Starting a proof for another order pauses until the next billing period or a plan change. Existing proofs, revisions, customer decisions, downloads and history remain available.

Which files can I send?

Each proof version can contain up to 10 JPG, PNG or PDF files and 150 MB in total. A JPG or PNG can be up to 15 MB. A PDF can be up to 25 MB and 20 pages.

How do paid plans work?

Eligible new stores can receive up to a 14-day trial on a paid plan. Subscription confirmation and billing happen in Shopify, and taxes may apply. Exact availability is shown before you subscribe.

Before you try it

A few
good questions.

Is Setvani for the kind of work I sell?

It is designed for Shopify stores that need customers to review custom work before making it: printed labels, invitations, embroidery, engraving and similar products. Each order has one current set of proof files.

Does my customer need an account?

No Setvani account is needed. Your customer opens a private review link to see the files and respond. Keep that link private: anyone it is shared with may be able to access the proof.

What happens when the customer wants a change?

Their message stays with the version they reviewed. Your team updates the design in its usual tools and sends a new proof version. The customer then responds to that new version.

Can I send several files or a PDF?

Yes. A proof version can contain JPG, PNG and PDF files. The customer reviews the set and gives one response for that version. Files for different items are not separate production workflows.

Does approval start production or fulfillment?

No. Setvani records the proof decision. Your team decides when to start making and shipping the order; the app does not hold or release fulfillment.

How do visual feedback and saved drafts work?

Comment on an image or PDF page using pins, arrows, rectangles and highlights. Originals stay unchanged. Add JPG, PNG or PDF references. Your draft stays private until sent. Saved drafts reopen with the invitation; local recovery helps with unsaved edits while access remains valid. Reply on the current changes-requested proof; read earlier discussion in history. Compare with the previous retained version side by side. Customer comparison requires the same recipient.

How do outgoing webhooks work?

Add up to three HTTPS webhook destinations on Starter, Growth and Pro, including an active paid-plan trial. Choose proof-published, approved or changes-requested events, send a test and check delivery history. A compatible automation tool can receive the events; no native Zapier app is required. Each proof event identifies the order and exact proof version, with a signature your receiver can verify. Customer email, comments and private file links are left out. Temporary failures receive bounded retries. Your team remains in control of production and fulfillment. Your receiver should verify the signature and deduplicate events. Webhooks do not start production or fulfillment inside Setvani.

Can I use my store branding?

On Starter, Growth and Pro, the owner can add a store name, PNG or JPEG logo, accent and background colors, and custom invitation and reminder email text. Free uses the standard Setvani presentation. Required approval details and a small Setvani attribution remain; email is sent from Setvani, not your store domain.

How do I send my first proof?

Choose a plan. Open an order in Setvani, add JPG, PNG or PDF proofs, check the email, then publish and send. Check delivery and the response. New files need fresh approval; production is manual.

Can I install Setvani now?

Yes. Install Setvani from the Shopify App Store and choose a plan in Shopify. You can also explore the example without an account or starting a subscription. Paid-plan features also apply during an active paid-plan trial; Free keeps the core approval and text-change workflow.
